Receipts arrive as photos, screenshots, downloads, and scans with names like IMG_4823.jpg or receipt.pdf. NameQuick reads each one and builds a consistent filename from the purchase date, merchant, total, currency, and category.

What arrives in a receipt folder

Phone photos

iPhone receipt photos and screenshots saved to Downloads, Desktop, or a synced folder.

Scanner output

Flatbed or document-scanner PDFs and images, often named scan_001.pdf or similar.

Email attachments

Receipts forwarded or saved from email, usually named receipt.pdf or download (2).pdf.

Vendor portals

Order confirmations and subscription receipts downloaded from merchant or app-store portals.

Start with the receipt template

Lead with a template, not a one-off prompt. A template fixes the field order so every file is named the same way. Go to Presets > New Preset > Template and use this spec.

Field rules
- Use the purchase or receipt date, formatted as YYYY-MM-DD.
- Use the merchant or store name.
- Use the final total, not the subtotal or pre-tax amount.
- Format the amount with two decimals and the currency code shown on the receipt.
- Use a broad category: Travel, Meals, Software, Office, Supplies, Other.
- Omit the category when it is unclear. Do not guess.

Keep sensitive data out of filenames

These details should never appear in a filename. The template and prompt exclude them by default.

  • personal or business tax IDs

A practical workflow

Collect receipts in one folder

Put new receipt photos, screenshots, scans, and downloads into a single review folder, such as ~/Documents/Receipts Inbox/.

Apply the receipt template

Use the receipt naming template so every file follows the same pattern. The template keeps the date, merchant, total, currency, and category in a fixed order.

Preview the suggested names

Check the purchase date, a clean merchant name, the final total, the right currency, and a sensible category. Confirm no card numbers or other sensitive details appear in the name.

Rename the batch

Apply the renames together so Finder search, Spotlight, and backups all see consistent, sortable receipt names.

Route by category

Use rules or a watch folder to move renamed receipts into category or year folders, and add Finder tags so expense review is faster.

Hand off to your expense system

Readable receipts are easier to attach to an expense report, upload to a reimbursement tool, or share with a bookkeeper. Keep your accounting tool as the financial record.

Preferred pattern:

Rules:
- Use the purchase or receipt date. Format it as YYYY-MM-DD.
- Use the merchant or store name. Clean suffixes like Inc., LLC, or GmbH when they are not needed.
- Use the final total, not the subtotal. Format it as 57.20-USD, 44.90-EUR, etc.
- Use the currency shown on the receipt.
- Add one broad category when it is clear: Travel, Meals, Software, Office, Supplies, Other.
- Omit any field you cannot read. Do not guess.
- Do not include card numbers, account numbers, tax IDs, addresses, or phone numbers.
- Remove unsafe filename characters: / \ : * ? " < > | and line breaks.
- Preserve the original file extension.

Fallback:
- If only a date and merchant are reliable, use {date}_{merchant}_Receipt.
- If almost nothing is readable, use Needs-Review_{originalBaseName}.

Return only the filename, with no explanation.

Once names are stable, rules can move and tag files. Keep the first rules narrow and send unreadable files to review.

Common questions

Can NameQuick read receipt photos and screenshots as well as PDFs?

Yes. NameQuick can read text from receipt photos, screenshots, and scanned images using OCR, then propose a filename from the date, merchant, total, currency, and category. Preview the results, since faded or angled photos can be harder to read.

What if a receipt is missing the total or the merchant?

Omit the field rather than guess. The template drops missing fields and keeps the filename shorter. If almost nothing is readable, NameQuick can mark the file Needs-Review so you can handle it manually.

Will my card number end up in the filename?
