Privacy & Your Data
Exactly what leaves your Mac in each mode - Managed, your own API key, or local models - in plain language. No file is ever stored on our servers.
To rename a file by its content, something has to read that content. This page says exactly what that something is in each mode, and what leaves your Mac — in plain language. The formal version is in the privacy policy; this is the version you can actually act on.
The one-sentence summary: your files live on your Mac, NameQuick never stores them anywhere, and you choose how much leaves your machine — including not at all.
The three modes, side by side#
| What leaves your Mac | Where it goes | |
|---|---|---|
| Local models (Ollama, LM Studio, MLX) | Nothing. Analysis runs on your hardware | Nowhere — works offline |
| Your own API key (Self-Managed) | Documents: extracted text. Images & scans: the image, for visual analysis | Directly to the provider you chose — never through our servers |
| Managed | File content for analysis (text and images) | Through our EU-routed, TLS-encrypted processing service to the AI — processed for renaming only, never stored, never used for training |
In every mode: files are read, never modified; results come back as a name suggestion you control.
What always stays local, in every mode#
- OCR runs on your Mac. Text recognition for scans, screenshots, and photos uses Apple's on-device Vision framework — even on the Managed plan.
- The Content Search index is a local database in your Mac's Application Support folder. It is never uploaded, and you can rebuild or delete it anytime from Settings.
- API keys live in the macOS Keychain, not in config files.
- Your rename history stays in a local database on your Mac.
What NameQuick's own services see#
- License checks send your license key (Self-Managed) or sign-in email (Managed) to validate your plan — no hardware serials, no file information.
- Update checks (via Sparkle) send the app version, so you get the right update.
- Anonymous usage signals — events like "processing completed," tied to an anonymized identifier, never file names or file contents — help us see what's breaking and what's used. Details in the privacy policy.
Choosing a mode for sensitive work#
Contracts, medical records, client financials? Use a local model: the content never leaves the machine, full stop — and you can verify it yourself by renaming with Wi-Fi off. Many people run a local model on their sensitive folders and a faster cloud setup on everything else; switching takes one click in Settings → AI.
