Why scans arrive as Scan0001.pdf

A scanned PDF is a picture of a page wrapped in a PDF. Unless the scanner software ran text recognition, there is no text in the file for a normal renamer to read, so the scanner falls back to what it knows: the time of the scan and a counter.

That is why a stack of letters, receipts and contracts turns into Scan0001.pdf to Scan0047.pdf. The information you need for a good name (who sent it, what it is, which date it carries) is on the page, not in the file's properties.

Three ways to rename scanned PDFs, and where each stops

There are three honest options. Try the free ones first if your scans all look alike.

1. Let the scanner software name them

Scanner software names each file from what it knows when you press the button: the date, the time and a counter. NAPS2, a free scanning app, is a typical example. Its Auto Save names are built from placeholders such as $(YYYY)-$(MM)-$(DD) $(nn).pdf, and its text recognition makes the PDF searchable without changing the name (NAPS2 documentation, checked 2026-09-28).

Put the date first in your scanner's naming pattern and scans at least sort in the order you scanned them. The name still says nothing about who sent the document or what it is, and it carries the scan date rather than the date printed on the page.

Best for: scans you only need in the order you scanned them, where the scan date is enough to find them again.

2. OCR plus rules you write

Rule tools search the text of a file for patterns you define and build a name from what they match.

  • Hazel (Mac) can run OCR on images and non-searchable PDFs, capture matched text, and use it in a rename action. It costs $42 for a single user (verified 2026-08-20, noodlesoft.com).
  • File Juggler (Windows) reads the text of PDFs and DOCX files and can rename by what it finds, but built-in OCR is not documented, so image-only scans need a separate OCR step first. It costs USD 50 one time (verified 2026-08-20, filejuggler.com).

Rules work well for a layout you know. They break when the sender, the language or the layout changes, and a mixed pile of scans needs a rule for every kind of document in it.

Best for: a few recurring layouts that you are happy to maintain rules for.

3. A content-based AI renamer

A content-based renamer reads each page the way a person would and writes the name from what it finds, so one setup covers letters, receipts, contracts and statements.

How to rename scanned PDFs with NameQuick on Mac or Windows

  1. Send every scan to one folder. In your scanner software or phone scanning app, set the save location to a single folder, for example Scans.

  6. Switch to automatic when you trust it. Once a few batches come out right, set the folder to Apply automatically. Every rename is recorded in History, where it can be undone where possible (not, for example, after the file was moved elsewhere).

What to know before you start

Where the page goes depends on the AI mode. With Managed AI or your own cloud key, the page image goes to the AI model so it can read the scan. Managed AI processes it on EU-routed servers, deletes it within 24 hours at the latest, and never uses it for training. With a local model on your own computer, the analysis stays on the device; the model has to be one that reads images, and scanned PDFs are limited to the first three pages.

NameQuick doesn't add a text layer. It renames and files your scans but doesn't make the PDF itself searchable. If you need searchable PDFs, turn on text recognition in your scanner software.
