Introduction: the portal already dumped it
The paperless essay is not the problem. Downloads is.
The browser, the bank, the vendor, the utility email. Something in that family already saves here, and last week's self keeps hitting Save. The names that land are the ones Finder or Explorer already shows:

A scanner counter may still show up as scan_0007.pdf. That is a different pile. This page stays on portal and email PDFs that arrived with a vendor prefix, a generic statement.pdf, or the email subject as the filename.
You cannot sort them. Invoice_ plus a number is not a date. Your new Spire bill is ready.pdf is a subject line. statement_ADVICEP-….pdf is an export stamp. The Hawaiian loan statement shape glues the period to the end of the name, so the folder does not sort by when the statement is for.
The useful workflow is short: leave the files in the incoming folder, read the page, fill the naming line you already use, preview every name, keep undo on, then file with rules.

The right column is the convention, not a fake after-name. Preview shows the filled filename before anything is applied.
The goal is not a prettier string. It is a name you can sort and search without opening the PDF.
Bank - Raiffeisenbank (Zahlungen).pdf is the same job as statement.pdf: a portal export title. If the rest of that folder is BANKPAID, SORTER_PDF, or a Treuhand Merkblatt line, that work lives on how to name bookkeeping receipts for DATEV, not here.
Why the portal name is not a naming line
To rename Downloads PDFs, the software has to do more than find-and-replace Invoice_. The portal already used that prefix. Search-replace leaves you with a number, a subject line, or statement.pdf.
A portal-document pass usually needs:
- document date (authored, sent, published, or transaction date on the page, never the download date, never the due date)
- sender, vendor, client, or institution
- document type (invoice, receipt, statement, bill, letter)
- optional amount, invoice number, or short reference
- the capitalization and date shape you already wrote down
That is the difference between Your new Spire bill is ready.pdf and a file that already carries YYYY-MM-DD__Entity__DocType.
You do not need a new convention. Paste the line you already believe:

1. Keep the folder the browser already uses
Downloads is fine. A subfolder the save dialog already points at is fine. Pick one. The fewer landing spots, the easier the watch.
Do not start by designing an archive. Start with the pile that already exists.
Move a scanner inbox out of this job. To File / Scans / scan_0007.pdf is the scan page.
2. Read the PDF, not the download name
The filename is a portal leftover. The date, vendor, and document type are on the page.

3. Name from a one-line convention

For a statement-heavy batch, a period such as 2026-08 can be enough. Do not force a day if the page is a monthly statement. For first_hawaiian_bank_loan_statement_….pdf, the period on the statement wins over the date glued to the end of the download name when they disagree.
Do not put full account numbers, IBANs, card numbers, or personal tax IDs into filenames. If a value is sensitive or uncertain, omit the field rather than guessing.
4. Preview, then undo
Preview every proposed filename before you apply a batch. This is the safety step, not an extra.
Portal PDFs are the files you do not want to rename blind: bank, tax, household bills, vendor invoices. A safe workflow shows the new name first, lets you edit a bad suggestion, and lets you undo the rename if you catch a problem later.
